Your team is always in control of the assistant

Letting artificial intelligence talk to your customers only works with clear limits. These are the rules the assistant works by, what it never does and whose name everything is in.

Six rules the assistant never breaks

  • Same number, your team stays on WhatsApp

    No new number, no new channel. Your team still sees the conversations and can step into any of them at any time.

  • Pauses when a person replies

    As soon as someone on your team writes in a chat, the assistant stops replying in that conversation. A customer never hears two voices at once.

  • Keeps internal data internal

    Internal notes, emails between your team and anything marked internal never go out to the customer.

  • Only answers what's approved

    It replies from the information your business approved. If the answer isn't there, it doesn't make one up: it routes the case to a person with a reference number.

  • Ignores staff numbers

    Your team's numbers are registered as internal: the assistant doesn't serve them as customers or open references for them.

  • Accounts in your business's name

    WhatsApp Business and the tools the assistant uses are contracted in your business's name. Access is yours from day one.

Limits

What the assistant never does

A useful assistant is a predictable one. These rules are set in the structure phase and reviewed with you before the assistant opens to customers, with real tests.

  • It never invents prices, deadlines or promises your business hasn't approved.
  • It never makes decisions that belong to a person: exceptions, off-policy discounts, complaints.
  • It never shares one customer's information with another, or your business's internal data.
  • It never keeps writing in a conversation a person on your team has taken over.
  • It never takes payment by any means other than the payment links you approve.
  • It never contracts accounts or tools in Cero7's name.

Questions about the assistant

Can the AI say something inappropriate to a customer?

The assistant only answers from the information your business authorised; anything outside it goes to a person instead of being improvised. The rules are tested on real cases before launch and reviewed every month.

Can I take over a conversation at any time?

Yes. Your team stays on WhatsApp with the same number. As soon as a person writes in a chat, the assistant pauses in that conversation.

Does the assistant answer my team's messages?

No. Staff numbers are registered as internal: the assistant doesn't serve them as customers or open references for them.

Whose name is the WhatsApp account in?

Your business's, as are the tools the assistant uses. Cero7 does not contract accounts in its own name for your operation.

Who is responsible for my customers' data?

Your business, as with any customer service channel. Your privacy notice should cover service over WhatsApp; in the structure phase we review with you what data the assistant asks for and what it is used for.
