WhatsApp AI Assistant

Customer service on WhatsApp, on autopilot

An AI assistant that answers, organises and routes every request that reaches your business's WhatsApp. Your customers write as they always do; your team replies from their email; nobody downloads anything.

01 · The problem

WhatsApp grew up. Customer service is still manual.

Your customers have already picked the channel: they message on WhatsApp at any hour and expect an answer within minutes. On the other side there is usually one person copying messages into emails and chasing whoever knows the answer.

  • Hours of waiting

Customers left unanswered after hours or at peak times. Every message that waits is a sale cooling down or a customer writing to a competitor.

  • Copy and paste

Your team works as a go-between for chats and emails: read, forward, wait for the internal answer, then rewrite it for the customer.

  • No record

No reference number, no history and no response times you can measure. Nobody knows how many requests came in yesterday or how many went unanswered.

02 · What it costs today

Staffing WhatsApp costs more than it looks

The real cost of a customer service hire includes salary, social security and benefits. And one person does not cover nights, Sundays or holidays.

  • $900

    USD a month

    1 person

    Office hours, Monday to Saturday.

  • $1,800

    USD a month

    2 shifts

Morning and afternoon, Monday to Saturday.

  • $3,600+

    USD a month

    24/7 coverage

At least 4 people to cover every shift.

Average customer service salary in Mexico: about $690 a month (Indeed Mexico, September 2026) plus 31% in social security and benefits (iLoveCFDI, 2026). Peso amounts converted at 15 MXN per USD.

04 · How it works

From question to answer, with no go-between

An assistant that answers, organises and follows up: it replies instantly, logs every case with a reference number and hands it to the right person.

  1. The customer writes

    On WhatsApp, 24/7

From the WhatsApp they already use, to the usual number. Text, voice note, photo or PDF, at any hour.

  2. The AI responds

    Resolves and asks

It answers what it is authorised to answer and asks for whatever details the case needs to move forward.

  3. Routes with a reference

    To the right owner

Anything that needs a person goes out by email with a reference number, a summary and the files, to whoever owns it.

  4. The team replies

    From their inbox

Your team answers with “Reply”, like any other email. No new app to learn.

  5. The customer gets it

    In your brand's voice

The answer lands on their WhatsApp, written in your business's tone, with the reference number to follow up.

05 · For your customers

Immediate, personal service

Nothing to download

Your customers already have WhatsApp. No apps, no sign-ups, no passwords: they write and that's it.

  • Answers 24/7

Opening hours, location, requirements and common questions, instantly and at any hour.

  • Knows every customer

Name, history and assigned owner. Nobody has to explain their case twice.

  • Smart routing

By service, by person or by history: every case reaches someone who can solve it.

  • One reference per issue

Every follow-up on a case stays in a single thread, from the first question to closing.

  • Takes documents

PDFs and photos filed in the cloud, linked to the customer's reference number.

  • Voice and languages

Serves customers in Spanish and English on every plan; understands voice notes from the Company plan up.

06 · For your team

Everything gets done from email

Your team keeps its tools. Every case that needs a person arrives as an email with a reference number, and replying to it is replying to the customer.

  • An email with the reference and what the customer needs
  • They answer with “Reply”
  • They reassign with one sentence (Company plan and up)
  • Their attachments reach the customer

Hi Laura,

Juan Pérez wrote on WhatsApp and needs your help.

What they need: confirm the delivery date for their service.

To answer, just hit “Reply”.

07 · Growth

From answering customers to driving sales

With every conversation on record, the channel that serves can also sell, to customers who already know you. Reminders from the Company plan up; segmented campaigns and measured ads on the Corporate plan.

  • Segmented campaigns

By service, stage or area, to customers who have already written to you.

  • Reminders

Appointments, payments and renewals, without anyone having to remember.

  • Win-back

Messages for customers who haven't come back.

  • Click-to-WhatsApp ads

From Facebook and Instagram straight into the chat, measuring what happens after the click.

  • Reviews and referrals

Requested after every service, when the customer is happiest.

  • Measurable results

Reads, replies and appointments: which message worked and which didn't.

08 · Control and trust

Your team is always in control

  • Same number

Your team stays on WhatsApp and can step into any conversation.

  • Pauses when a person replies

As soon as someone on your team writes, the assistant hands the conversation over.

  • Keeps internal data internal

Anything meant for internal use never goes out to the customer.

  • Only answers what's approved

Whatever isn't in its approved information goes to a person.

  • Ignores staff numbers

Messages from your team are never treated as customers.

  • Accounts in your name

WhatsApp and the tools are in your business's name, not ours.

FREQUENTLY ASKED

Questions about the assistant

What is a WhatsApp AI assistant?

It is a system that answers your business's WhatsApp messages with artificial intelligence: it understands what the customer is asking, replies with what it is authorised to say and, when a person is needed, logs the case with a reference number and routes it by email to the right owner. Unlike a menu chatbot, the customer writes in their own words — or sends a voice note — and never has to pick options.

Do my customers have to download anything?

No. They message your business's WhatsApp as they always have. No apps, no sign-ups, no passwords.

Can I keep the same WhatsApp number?

Yes. The assistant works on your business's number, your team stays on WhatsApp and can step into any conversation: as soon as a person replies, the assistant pauses in that chat.

What happens if the AI doesn't know the answer?

It doesn't make one up. It only answers from the information your business approved; everything else is routed with a reference number to the right person, who replies from their email. The customer gets the answer on WhatsApp under the same reference.

How much does the WhatsApp assistant cost?

There are three plans: Business, $670 a month; Company, $1,000 a month; and Corporate, $1,670 a month. Prices are in US dollars plus VAT where applicable and include the five-phase implementation. Paying in advance gets 8% off for six months and 15% off for a year. Tools such as Meta's WhatsApp Business account are billed separately and stay in your name.

How long does implementation take?

It depends on how many services, departments and people your business has. Implementation follows five phases — audit, structure, implementation, training and optimisation — and in the assessment we give you a concrete date for your case, not an average.

Does it understand voice notes and English?

It serves customers in Spanish and English on every plan, so it also works for international customers and tourists. Voice notes are understood from the Company plan up.

Does it work for any kind of business?

It works for any business that receives requests on WhatsApp and has to pass them on to someone: clinics, professional firms, repair shops, clubs, real estate agencies, schools, restaurants or field service teams. Our use cases walk through two complete examples, from the first question to payment.
