WhatsApp AI Assistant · For your team

Your team solves cases. The assistant does everything else.

No new apps, no inboxes to check. Every case arrives as an email with a reference number, answering it is answering the customer, and management knows every day what got handled, what is pending and how long it took.

From email

Everything gets done from email

Email is already on your team's phones and computers. That's why cases arrive there: nothing to install, nothing to learn.

  • An email with the reference and what the customer needs
  • They answer with “Reply”
  • They reassign with one sentence (Company plan and up)
  • Their attachments reach the customer

Hi Laura,

Juan Pérez wrote on WhatsApp and needs your help.

What they need: confirm the delivery date for their service.

To answer, just hit “Reply”.

Your team's job

What your team does, and nothing else

  1. Gets the case with a reference

    Receive

An email with the reference number, the customer's name, what they need in one line and the files they sent. No need to read the whole chat.

  2. Replies with “Reply”

    Answer

They write the answer as they would in any email. The assistant turns it into a clear message in your business's tone and delivers it to the customer.

  3. Passes on cases that aren't theirs

    Reassign

With one sentence in the reply — say, “Carlos in billing handles this” — the case changes owner without losing its reference. Company plan and up.

  4. Sends files

    Attach

Quotes, photos, invoices or contracts attached to the email reach the customer on WhatsApp.

  5. Or gets it on their phone

    Prefers WhatsApp

If a person or department prefers to receive cases on WhatsApp on their phone, that can be set up too.

Data

Decisions with data, every day

A weekly report on the Business plan; daily reports, alerts and surveys from the Company plan up; a management dashboard on the Corporate plan.

  • Daily report

    New, handled and pending requests.

  • Response time

By owner and by department, to see where cases get stuck.

  • Time per service

From request to delivery, service by service.

  • Overdue alerts

Warnings before a customer is lost, when a case sits unanswered for too long.

  • Peak hours and reasons

What your customers ask and when, to plan shifts and answers.

  • Satisfaction

A short survey when each case closes.

By role

What changes for each person

  • Owner or management

Stops asking “has anyone answered them?”. Sees volume, timings and pending cases in reports, without asking anyone.

  • Department owners

Only get the cases that are theirs, with full context and the reference number. Anything that isn't theirs, they reassign with one sentence.

  • Front desk and customer service

Stop being the go-between for chats and emails. They handle what needs a human touch and step into any conversation when needed.

  • Sales

Every lead arrives with a reference and details, and reminders and win-back messages work on customers who have already written.

People and the assistant

The assistant doesn't replace your team

It takes away the work that isn't theirs: reading every message to see who to forward it to, copying and pasting between chats and emails, chasing a colleague for an answer, remembering who needed a reply.

What's left is what genuinely needs a person: quoting, deciding, resolving a complaint, closing a sale. And your team is ready from day one, because training is one of the five included phases.

FREQUENTLY ASKED

Questions about the assistant

Does my team have to learn another app?

No. Cases arrive in the email they already use and are answered with “Reply”. If someone prefers to get them on WhatsApp on their phone, that works too.

How do you reassign a case?

By replying to the email with one sentence saying who it belongs to. The case changes owner and keeps its reference number and history. Reassignment is included from the Company plan up.

How many people can receive cases?

Up to 5 people on the Business plan, up to 20 across several departments on the Company plan, and multiple locations with high volume on the Corporate plan.

What reports does management get?

On the Business plan, a weekly report. From the Company plan up, daily reports with new, handled and pending requests, response times by person and department, overdue alerts and satisfaction surveys. The Corporate plan adds a management dashboard.

How long does it take my team to learn?

What there is to learn is answering an email, reassigning with a sentence and reading a report. Training is one of the five implementation phases, so your team starts ready.

Let's see how your team would work

In the assessment we define who would receive which cases, through which channel, and which reports would help management.
