WhatsApp AI Assistant · Use cases

The assistant at work: two cases, from first question to payment

What the assistant looks like in real operation: every message, every email to the team and every payment, in order. Two different businesses, one pattern: the customer writes, the AI coordinates and the team only steps in where it is needed.

Case 1 · Sports club

A friendly match, coordinated end to end

Diego wants to play padel on Saturday with three friends. In a single thread the assistant books the court, gets a yes from the other three, sells the food and drinks and charges everyone their share.

Illustrative exampleThe club, the people and the amounts are fictional. This is how the flow would look in a real business.

  1. Step 01

The customer asks for a match

    Club Pádel & Pickle

    online

    • Customer: I want to set up a padel match Saturday afternoon, 2 hours, with Pau, Memo and Sofi

    • Assistant: On it, Diego! I'll check courts and ask Pau, Memo and Sofi if they're in. Back to you shortly.

Diego writes in his own words. The assistant picks out the day, time, length and who he wants to play with.

  2. Step 02

    The AI checks the courts

Court calendar · Sat 18 Oct

    • Court 1 · booked
    • Court 2 · booked
    • Court 3 · free 18:00 to 20:00
    • Court 4 · free at 19:00 only

The AI cross-checks times: Court 3, 18:00 to 20:00, is the only free 2-hour slot.

It checks the club's calendar and finds the only free two-hour slot.

  3. Step 03

    Invites Pau

    Pau

    chat with the club

    • Assistant: Hi Pau 👋 Diego is challenging you to padel on Sat 18:00 to 20:00, Court 3, with Memo and Sofi. In? 1. Yes 2. Another time 3. Can't make it

    • Customer: 1, I'm in 🔥

It invites each player separately, from the club's number, with clear options.

  4. Step 04

    Negotiates with Memo

    Memo

    chat with the club

    • Assistant: Hi Memo, Diego is challenging you to padel on Sat 18:00 to 20:00, Court 3. In?

    • Customer: I get there at 18:30, can we go later?

    • Assistant: There's no free court from 19:00 to 21:00. How about arriving at 18:15 while Sofi warms up with Pau?

    • Customer: Deal, see you there

When someone asks for another time, it checks availability and proposes a way out instead of cancelling.

  5. Step 05

    Sets teams with Sofi

    Sofi

    chat with the club

    • Assistant: Hi Sofi, Diego is challenging you to padel on Sat 18:00 to 20:00 with Pau and Memo. In?

    • Customer: Yesss, but I'm with Diego 😏

    • Assistant: Noted: Diego and Sofi vs. Pau and Memo 🎾

It notes each player's preferences and sets the teams.

  6. Step 06

    Offers the full experience

    Club Pádel & Pickle

    online

    • Assistant: All 4 are in! 🎾 Want us to set up something extra? 🥤 Sports drinks on court 🍺 A bucket of beers after 🍗 Wings or a snack box

    • Customer: Drinks at the start, and the bucket with wings after 🙌

    • Assistant: Done, I'll pass the order to the kitchen so it's ready on time.

With the match confirmed, it offers extras. The sale comes out of the conversation itself.

  7. Step 07

    The kitchen gets the order

    Inbox · Kitchen

    Order R-0412 · Diego's match · Court 3 · Sat 18 Oct

AI assistant · 12:12 · to Kitchen and Bar

18:00 on court: 4 cold sports drinks.

20:05 table 12, terrace: beer bucket + wings for 4.

Court booked in the calendar. Charge: $200 MXN each.

It can also go by WhatsApp to the kitchen's phone, whichever the team prefers.

The kitchen receives the order with a reference number, time and place, with nobody typing it in.

  8. Step 08

    The kitchen confirms

    Re: Order R-0412

    Re: Order R-0412

    Chef Toño · Kitchen · 12:16

Got it. Drinks on ice at 17:55 and wings out at 20:00.

AI assistant · 12:16 — Thanks. I'll let the group know and send you a reminder on Saturday at 17:30.

The chef replies to the email. The assistant confirms and schedules a reminder for the group.

  9. Step 09

    Confirms with the group

    Saturday match 🎾

    Diego, Pau, Memo, Sofi

    • Club Pádel & PickleMatch confirmed ✅ 📅 Sat 18 Oct · 18:00 to 20:00 🎾 Court 3 · Diego and Sofi vs. Pau and Memo 🍺 After: table 12, terrace

    • PauPro level 🔥

It confirms everything in one message: date, court, teams and what comes after the match.

  10. Step 10

    Everyone gets their bill

    Saturday match 🎾

    Diego, Pau, Memo, Sofi

    • Club Pádel & Pickle🧾 Order R-0412 Diego: drink + wings · $185 Sofi: drink + wings · $185 Pau: drink + bucket · $160 Memo: drink + bucket · $160 Court $200 each. Everyone has their payment link 💳

    • SofiPaid ✅

    • MemoDone ✅

It splits the bill per person and sends each one their own payment link. Nobody chases anybody to get paid.

Case 2 · Repair shop

An urgent repair, from the photo to the review

Mariana needs her boots for a wedding on Friday. The assistant opens a reference, gets the craftsman's quote, collects the deposit, coordinates the pickup, sends progress updates, collects the balance and asks for a review.

Illustrative exampleThe shop, the people and the amounts are fictional. This is how the flow would look in a real business.

  1. Step 01

    The customer sends photos

    Taller Buen Paso

    online

    • Customer: 📷 boots_sole.jpg

    • Customer: Hi, the sole came off my boots. I need them for a wedding on Friday 😬

    • Assistant: Hi Mariana, reference Z-0207. Are they leather or synthetic? I'll pass them to the craftsman for a quote.

    • Customer: Brown leather

Mariana sends a photo and some context. The assistant opens a reference and asks for the one detail missing to quote.

  2. Step 02

The AI routes it to the shop

    Inbox · Workshop

What she needs: sole detached on the right boot, worn heel caps. Brown leather. Wearing them Friday at a wedding.

  3. Step 03

    The shop quotes

    Re: Z-0207

    Re: Z-0207

The AI turns this reply into a clear quote for the customer.

The craftsman answers with “Reply”, in his own words.

  4. Step 04

Where it fits

The same pattern works for many businesses

If your customers message you on WhatsApp and someone has to pass each message on to someone else, the assistant fits. These are the most direct uses.

  • Clinics and practices

Appointments, pre-visit requirements, reminders and confirmations, with each patient under their own reference.

  • Professional firms

Document intake, case status and routing to the owner of each client.

  • Repair and field service

Photos of the problem, the technician's quote, deposit, progress and delivery.

  • Clubs, gyms and schools

Bookings, enrolments, payments and notices to whole groups.

  • Restaurants and bars

Reservations, event orders and tickets that reach the kitchen with a reference number.

  • Real estate

Requirements, viewing appointments and follow-up on every lead with their agent.

FREQUENTLY ASKED

Questions about the assistant

Are the cases on this page real clients?

No. They are illustrative examples with fictional businesses, people and amounts, built to show the assistant's full flow step by step. In the assessment we map out the equivalent journey for your business.

Can the assistant collect payments on WhatsApp?

In the examples it sends payment links for deposits, balances and split bills. Payments run through the platform you already use, or one we define with you in the structure phase.

Can it coordinate several people on one case?

Yes. In the club case it invites three players separately, negotiates a time and confirms with the group; in the repair case it coordinates the craftsman, the courier and the customer. Each case keeps a single reference number.

Does it work with several locations?

Yes. The Corporate plan is built for multiple locations and high volume: cases are routed to the right branch and the management dashboard shows the numbers for all of them.
